Administrative Assistant

Job Summary

The Administrative assistant provides general administrative support to the Administrative Offices and serve as receptionist at the front desk. Under general supervision, complete general correspondence, receive and screen calls and visitors, maintain files, and perform a variety of duties relative to assigned areas of responsibility. This position requires the application of independent judgment based on knowledge of the functions of the assigned area and will require discretion and confidentiality. The position requires excellent customer service skills.

Examples of Duties

  • Provide general administrative support to the Administrative Offices; keyboarding, proof and edit correspondence, reports, and other documents; maintain multiple filing systems; maintain confidentiality of customer and other information.
  • Serve as receptionist for the front desk, greeting and assisting internal and external visitors. Provide prompt and courteous response to public inquiries; refer the visitors to the proper office or agency. Answer, screen, and forward incoming phone calls.
  • Maintain general correspondence, technical files, and records in assigned areas.
  • Prepare outgoing mailings, screen and route departmental mail. Serve as key staff person primarily responsible for printers, fax and copy machines, and postage meter.

Education and Experience

High school diploma or GED. Vocational or business education is a plus. Three years of increasingly responsible administrative work.
