Job Summary

This position is responsible for the purchasing of all bus parts, maintenance, repair and operational (MRO) supplies and equipment, office supplies, safety supplies, printing services, and any other purchasing related work as directed by the department manager. Work involves maintaining all such records as appropriate and necessary for the efficient and timely purchasing of the above parts, supplies and services. Work involves establishing and maintaining a functional working relationship with all appropriate STA personnel for the purpose of facilitating good working relations and optimizing communications with fellow personnel. Work requires performing all purchasing-related work in accordance with the current STA purchasing resolution as amended or superseded.

Examples of Duties

  • Use automated inventory control measures to communicate with maintenance and office management to determine the proper quantity, quality and delivery of parts and supplies.
  • Monitor the quality of parts and supplies when received and communicate with suppliers when the factors above have been compromised. Solicit price quotations, terms and conditions of sale, discounts, delivery timing, and purchase parts and supplies, as directed by the supervisor.
  • Institute and maintain an efficient, cost minimizing inventory of parts and supplies, monitoring stock levels and reorder points, and determining stock locations. Review automated parts requisitions and determine appropriate supplier, given selection criteria including, but not always restricted to the lowest price.
  • Enter all parts charge-outs on a daily basis and price updates, as needed.
  • Issue bus parts and supplies to maintenance personnel. Coordinate parts and supplies reclaim and recycle function, where appropriate.
  • Prepare all non-automated purchase orders through data entry of approved and authorized requisition information into the computer. Maintain file copies of requisitions and purchase orders.
  • Accurately process, on a timely basis, all accounts payable invoices for all non-automated purchase orders for the purpose of facilitating effective vendor relations and taking advantage of early payment discounts offered. Maintain purchase order record file and efficient vendor and product information files.
  • Work with the Shipping and Receiving Technician to maintain optimal material flow and to ship outgoing items of freight. Interact effectively with supplier’s representatives, obtaining appropriate information necessary to improve and streamline the purchasing function.

Education and Experience

Training & Experience
High school graduation or GED. Three years of previous work experience in parts and/or supplies purchasing including one year of inventory control experience. Must possess a valid driver’s license.
Physical Requirements
This position requires moderate physical activity requiring handling of objects and materials. Good physical condition and health is required with no significant impairments of mobility. Must be able to receive detailed information through verbal communication and to make discriminations in sound. Must be able to exert up to 50 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Must have visual acuity to determine depth and field of vision. Must see well enough, with or without correction, to accurately read fine print smaller than 12-point font style. Must have manual dexterity to write legibly and to use general office equipment.
Computer Skills
Experience within the Microsoft environment. Ability to learn new software programs with minimal formal training. Experience with Tyler/Munis system a plus.
